           BANYAN SPRINGS PROPERTY OWNERS ASSOCIATION

BOARD OF DIRECTORS WORKSHOP MEETING

THURSDAY, NOVEMBER 3, 2011 --- 10:00 A.M. – BANYAN ROOM

 

          Barry Prince called the meeting to order at 10:00 A.M

 

          Present:       Barry Prince, President

Reading of the Minutes – Tony Scorsese

 

A correction was noted on Page 4, paragraph 2, Line 1. The word “electrical” was deleted. Paul Whitney made a motion to accept the Minutes of November 3, 2011 as corrected, seconded by Bob Dow and passed unanimously.

 

Treasurer’s Report – Joel Brusso

The Treasurer’s report showed a beginning reserve balance of $254,825.04 as of 10/19/2011.

 

After additions to Reserves of $23,500.00, the current reserve balance is $278,325.04 as of November 3rd, 2011.

 

Our Operational Account shows a balance of $108,872.03 as of November 3rd, 2011.

 

Feige Brody made a motion to accept the Treasurer’s Report, seconded by Mel Teitzman and passed unanimously.

 

Management Update – Rick Leach

Highlights:

 

·        A service call on our current generator for the Clubhouse by RCB Electric has lead Management to consider the possibility of replacing the generator with an enclosed, automated model that is more reliable and trouble free. After gathering information, options and associated costs, it will be presented to the Board for further review at a future Workshop Meeting.

 

·        T.E.M. Systems, Inc. replaced a defective magnetic lock at the main entrance to the Fitness Center and extended the activation time to 10 seconds on all card readers to the Center. This should resolve all problems getting in and out of the doors.

 

·        The BSPOA Finance Committee held their second meeting on Tuesday, October 25th to discuss and prepare the 2012 Proposed Budget which is being presented to the Board today for approval

     of mailing to all Unit Owners. The Proposed Budget will have no

     increase this year. It will be held at the same level as the past two

     years.

 

·        Al Hoffer Pest Protection Services fertilized the lawns and shrubs of the entire community last week and will treat the trees in Banyan Springs for white fly this coming Tuesday, November 8th.

 

·        E.P.I.C. Wireless Corporation will be on site today and tomorrow to install additional cameras at the Fitness Center , the Pool Deck and at the Cabana Pool to improve security at these areas. These charges are funded in the 2011 Budget..

 

·        Frames Tree Service removed 3 dying and diseased queen palms at the Pool Area, by the Cabana Pool and on Pine Drive at a cost of $450.00

 

·        Parker Well & Pump, Inc. will check and diagnose what caused a large sinkhole to develop behind the rear of the Clubhouse. Management will advise the Board what needs to be done to remedy the problem.

 

·        The Banyan Springs Annual Meeting and Election is scheduled to be held on Wednesday, January 18th, 2012. There will be 3 positions on the Board to be filled. All Unit Owners will be receiving Notices of the Annual Meeting and Election as well as the 2012 Budget Meeting in the mail. Mailings are scheduled to go out next week.

·        The next General Meeting is scheduled for Wednesday, November 16th at 7:30 P.M. in the Center.

 

·        The office will be closed on Friday, November 11th, in observance of Veterans Day.

 

President’s Update - Barry Prince

 

Barry reminded the Assembly that a top covering is required whenever leaving the pool area to any other area outside the pool. Also, when going to the steam room from the pool with a wet bathing suit, you must enter through the rear of the building and not through the Fitness Center . Women going to the steam room from the ladies bathroom through the Fitness Center must also have a top covering and scuffs.

New Business

 

·        Rick Leach advised that, in accordance with Florida Statute 720, which governs H.O.A’s, Notice must be given to the Association 30 days prior to the Budget Meeting. Therefore the Budget Meeting will be held on Thursday, December 8th at 10:00 A.M. in the Banyan Room.

 

Joel Brusso made a motion to mail the Proposed Budget to all Association Members this coming week. The motion was seconded by Paul Whitney and passed unanimously.

 

·        Under Administrative Business, Mr. Dow made a Motion to charge for photo copying at a rate of 10 cents per page for the first three pages and .50 cents per page for all copies exceeding three pages. This would apply only to individual persons and not to any Banyan Clubs or official Condo business. The Motion was seconded by Tony Scorsese and approved unanimously.

 

·        Barry Prince discussed the estimate proposal, from Davale Construction, with regard to a new Spa entry door on the side of the building where there now exists a steam room that has been used as a storage room for the past 20 years. This would eliminate the need for people to go around the building and climb the stairs to get into and out of the Spa and men’s room area. The problem is that this area has a lot of electrical and gas lines which would have to be moved. The estimate to do this project is $8,500.00. At the present time, Barry is simply making the Board and the people aware of this project. He would like to table this project for now and discuss further with the construction people as to how we could reduce this estimate. If we are unable to reduce the cost, the Board will have to decide if it is worth doing this project at this cost.

 

·        Tony Scorsese discussed the possible purchase of a Pedicure Chair as an enhancement to our Beauty Salon. After some discussion, Tony made a Motion to pursue this purchase with a spending limit of $1,500.00.  Bob Dow seconded the Motion and was approved unanimously.

 

Architectural Requests

 

At 10056 Hickorywood Place , white stone and gutters were installed around the house in accordance with the specifications of the Patio Villas Association. The changes have been approved.

There were a couple of matters brought up by Association members. The following issues were discussed.

 

 

·        John Fowler inquired about the cleaning of the grout in the Banyan Room. Rick Leach said they have looked into this and what would have to be done would be to remove the existing grout and re-grout the entire floor. It is being looked into for cost and feasibility.

 

·        Rick Leach said that he had the Board of Florida Public Utilities come out to check a gas smell that was detected. It was found that a pilot light was out on a stove & oven in the Café. It was cleaned and adjusted.

 

 

At 11:43 Paul Whitney made a motion to adjourn, seconded by Bob Dow and passed unanimously.
