BANYAN SPRINGS PROPERTY OWNERS’ ASSOCIATION

BOARD OF DIRECTORS WORKSHOP MEETING

THURSDAY, SEPTEMBER 10, 2009 --- 10:00 A.M. --- BANYAN ROOM

        Barry Prince called the meeting to order at 10:00 A.M.

        Present:           Barry Prince, President

Reading of the Minutes – Mimi Plonsky

        Robert Dow made a motion to accept the Minutes of the August 13, 2009 Workshop Meeting as corrected.  Seconded by Paul Whitney and passed unanimously.

Treasurer’s Report – Joel Brusso

        Copy attached.

        Mimi Plonsky made a motion to accept the Treasurer’s Report. Seconded by Robert Dow and passed unanimously.

Management/President’s Update

        Rick Leach gave the report, copy attached.

·        Rick Leach spoke of the completion and use of the new “Outback” picnic and barbeque area. Rules and Regulations will be available at the office during regular business hours.

        Robert Dow reported that a key, which will unlock the area as well as the rear gate, and a copy the Rules and Regulations for the use of the area will be assigned to the “Sign-Up” person at the time of reservation. A scraping tool will be handed out to that person as well. Reservations and sign-up must be made on a preceding Friday for weekend use, along with a $100.00 deposit refundable when the key and scraper are returned. The area must be kept free of trash, which can be deposited in a nearby trash receptacle, and the grill scraped clean.

        Robert Dow also pointed out that, as of now, the hours for use of the Outback area will be from 10:00 A.M. to sundown. The area cannot be used at night time as there is no lighting available, and the area will be in total darkness after sundown.

New Business

·        Robert Dow brought up the need for a new fence enclosure of the two dumpsters that can be seen upon driving up to the main entrance of the Clubhouse. The present structures are inadequate and in dire need of repair. He presented two proposals for a new enclosure, which brought up a discussion from the Board as well as the audience. There being a “goodly” cost difference between the two companies Barry Prince announced that the matter will be tabled until further investigation can be made.

Lake Irrigation & Fountain

·        Robert Dow presented a proposal from Allstate Resources & Management in the amount of $9,145.00. Copy attached. The fountain for irrigation of the lake adjacent to the main and office building would be installed where there are three channels meeting, for best operational purposes.

    The present budget provides for $10,000.00 for the project.

 

    Robert Dow made a motion to accept the proposal from Allstate Resource Management Co. to install the fountain for irrigation purposes at a cost not to exceed the budgeted amount of $10,000.00. Seconded by Paul Whitney and passed unanimously.

·        Robert Dow then answered a question from a resident, Doris Edelstein, as to the monthly charge for maintaining the fountain. He stated that the charge will be $45.00 per month, in addition to the monthly charge for Lakes Maintenance within the community.

Audience Participation

·        Jeanne Balsom, resident, asked what is going to be done about the water seepage into the Banyan Room during heavy rains. Barry Prince said that Management is looking into underground drains to divert the flooding away.

·        Sis Robinson, resident, spoke of some of the tables in the Café in need of repair/replacement. She went on to say that they are unstable. Rick Leach said that he will investigate the problem.

·        It was pointed out by our Security Chairperson, Jerry Zucker, that they are in dire need of Volunteers to man the golf carts a couple of hours per shift, for security purposes.
