BANYAN SPRINGS PROPERTY OWNERS’ ASSOCIATION

BOARD OF DIRECTORS WORKSHOP MEETING

THURSDAY, AUGUST 9, 2007 – 9:00 AM – BANYAN ROOM

 

          Barry Prince called the meeting to order at 9:00 AM

           Present:                Barry Prince, President

                                       Robert Dow, Vice President

                                       Arthur Beer, Director

 Reading of Minutes - Robert Dow.

           Al Kadin made a motion to accept the Minutes of the July 26, 2007 Workshop Meeting as read. Seconded by Arthur Beer and passed unanimously.

 Treasurer’s Report as read by Rick Leach – (Copy attached)

           Paul Whitney made a motion to accept the Treasurer’s report.   Seconded by Larry Granet and passed unanimously.

 Management/President’s Update – Copy of Rick Leach’s Management report is attached.

 ·        Barry Prince stated that the natural gas project should save us considerable money.  Currently we have budgeted $50,000.00 for LP gas and we have already spent $46,000.00 which means we will be considerably over budget on this line item by the end of the year. Natural gas should give us a return on our investment within 12 to 18 months.

Old Business

·        Pool Umbrellas – Barry Prince stated that we had talked at our last meeting about adding four umbrellas on the pool deck.  He stated that we have now received a quote from Premiere Patio Furniture for $1,348.13 for the four umbrellas with 125 lb cement bases. After some discussion Arthur Beer made a motion that we purchase the four new umbrellas from Premiere Patio Furniture for $1,348.13.  The motion was seconded by Paul Whitney and passed unanimously.

·        Pool Chairs – Barry Prince said that we had previously talked about adding some additional chairs for the pool area.  He went on to say that we had $2,850.00 remaining in the budget that was designated for this purpose. We have a bid for 20 new chairs from Premiere Patio Furniture for $1,293.20.  After some discussion, Arthur Beer made a motion that we purchase 20 new pool chairs from Premiere Patio Furniture for $1,293.20.  Paul Whitney seconded the motion and it passed unanimously.

 New Business

 ·        Conversion of Restroom to Storage – Barry Prince reported that we are looking to upgrade the restrooms at the back of the deck area.  In reviewing what upgrades are needed we looked at the possibility of converting one of the two men’s restrooms to an environmentally controlled records storage area.  The records are now stored in a storage building with no air conditioning.  With the requirement to keep the records for seven years we need a more suitable storage area.  After some discussion by the Board, Larry Granet made a motion to approve the conversion of one of the men’s restrooms to a storage room and that the work would be done by our staff.  The motion was seconded by Al Kadin and passed unanimously. 

·        Architectural Requests – Larry Granet reported that there are two but they are incomplete and can’t be approved at this time.

 Miscellaneous

·        Special Assessment - Rick Leach reported that we have 23 property owners that are now delinquent on paying the Special Assessment. The office will be mailing delinquent notices along with a late payment penalty. 

·        POA and Condo Documents – Arthur Beer said that he had read that the documents must be approved every 30 years. Rick Leach said that he was familiar with this and will check into the requirements and report back to the Board.

Adjournment

          Al Kadin made a motion to adjourn at 9:30 AM.  The motion was seconded by Larry Granet and passed unanimously.
