           BANYAN SPRINGS PROPERTY OWNERS ASSOCIATION

BOARD OF DIRECTORS WORKSHOP MEETING

THURSDAY, APRIL 21, 2011 --- 10:00 A.M. --- BANYAN ROOM

 

          Barry Prince called the meeting to order at 10:00 A.M

 

          Present:       Barry Prince, President

Reading of the Minutes – Tony Scorsese

 

There were two corrections to the minutes as follows:

 

1)     On page 1, at the end of the correction of the Minutes, the words “and passed unanimously” were added.

2)     On page 2, The Treasurer’s report, first sentence, the word “reserve” was entered preceding the word “balance”.

 

Bob Dow made a motion to accept the Minutes as corrected, seconded by Larry Granet and passed unanimously.

 

Treasurer’s Report – Joel Brusso

 

The Treasurer’s report showed a beginning reserve balance of $301,855.14 as of 3/31/2011.

 

Current reserves are $312,617.73 as of 4/21/2011.

 

Our Operational Account shows a balance of $71,887.03 as of 4/21/2011.

Harry Sassower made a motion to accept the Treasurer’s Report, seconded by Paul Whitney and passed unanimously.

 

President’s/Management Update – Rick Leach

Highlights:

 

·        The POA recently sent out letters to all Unit Owners over 90 days delinquent in their maintenance payments advising them of a meeting by a Board appointed Committee that will be voting on the suspension of their use of the common facilities at Banyan Springs. Meeting to be held on Thursday, April 28th, 2011. This meeting is not open to the public. These procedures are in accordance with Florida Statues, 720.305(2).

·        TruGreen Landcare completed trimming of the perimeter hedges on Wednesday and is done on a quarterly basis, per our contract with them.

·        The POA purchased 24 plastic Fan Back chairs replacing the old ones at the Cabana at a cost of $1,093.67

·        Al Hoffers Pest Protection Services completed the fertilization of the lawns in Banyan Springs on April 19th and 20th.  

·        Russo Electric completed replacing the 4 x 8 foot lighting fixtures for the sign at the main entrance on Boynton Beach Blvd. All related costs for materials and labor were $1,480.00.

·        Domenico Nursery & Landscaping will begin landscaping improvements for the spring on Monday, April 25th. The project will include mulching, planting Vinca flowers and replacement of shrubs in select areas and around the Clubhouse, Pool and Cabana Club. The cost of the project is $4,617.75 and is part of the Landscaping Improvements line item of the Budget.

·        The POA was informed by its auditors that the final draft of the POA’s 2010 Financial Statements should be ready next week for the Board to review. When approved, the Financial Statement will be available to interested members at the office. Notices will be posted at the Clubhouse, Channel 63 and at our website: BANYANSPRINGS.com

 

Barry Prince once again spoke about the Spa Renovations and advised the members that the Board has come to a decision on which contractor was going to be awarded the job. The final and lowest proposal came in from Davale Construction, Inc. at $106,077.00. The proposal was given the POA’s attorney to draw up a contract for review by the Board and for signing by the contractor and the Board. Mr. David Orfinger, from Davale Construction, was invited to the meeting to discuss the project with the members and to field any questions the assembly might have. After a short presentation, several questions were asked by both Board members and those owners in attendance and answered by Mr. Orfinger. 

 

Bob Dow then put forth a Motion, that, pending final signing of the contract by all parties, we accept the proposal from Davale Construction so that Mr. Orfinger could begin the process of obtaining the necessary permits in order to proceed with the project.  It is hoped that work could begin in early July and be finished by Labor Day. The Motion was seconded by Tony Scorsese and passed unanimously.

 

Old Business

 

The following issues were discussed:

 

·        Publication of the new telephone directory. Fifty six owners had not yet submitted a request to be included. A panel of four Board members was assigned to contact each owner to obtain their permission or exclusion.

·        Betty Hirshberger wanted to know if an owner was delinquent in their maintenance payments, could they rent their unit? Bob Dow responded, “no”.

·        Water Zumba at the pool will be continued on Saturdays between the hours of 9:00 AM to 10:00AM.

·        The Rules and Regulations Book is being updated. Not only Board members but all unit owners are responsible to enforce the rules when they see them being broken.

 

New Business

 

None

 

Architectural requests

 

There were no Architectural requests for any individual units. There was a request for enclosures around the dumpsters at the Coach Homes and at Clearbrook. Rick Leach said “several options are being considered”.

At 11:23 Larry Granet made a motion to adjourn and seconded by Paul Whitney.
