       BANYAN SPRINGS PROPERTY OWNERS ASSOCIATION

BOARD OF DIRECTORS WORKSHOP MEETING

THURSDAY, MARCH 31, 2011 --- 10:00 A.M. --- BANYAN ROOM

          Barry Prince called the meeting to order at 10:00 A.M

          Present:       Barry Prince, President

          Absent:        None 

         Reading of the Minutes – Tony Scorsese

There were some corrections to the minutes as follows:

1)     On page 2, the Treasurer’s Report, the date was corrected to read: March 17, 2011 and the balance was corrected to read: $301,855.14.

2)     On page 3, Architectural Requests, additional information regarding the actual details of the Architectural Requests were added. The corrected information was entered as follows:

·        5102 Pine Drive - Replace rotted fascia boards

·        10118 Marwood Place – replace 3 Bahama shutters with 3 accordion hurricane shutters – beige color

·        10104 Marwood Place – replace or sand down and repaint fascia boards.

Larry Granet made a motion to accept the Minutes as corrected, seconded by Paul Whitney and passed unanimously.

Treasurer’s Report – Joel Brusso

The Treasurer’s report showed a reserve balance on hand as of 3/30/2011 of $301,855.14.

Our Operation Account shows a balance of $49,578.57 as of 3/30/2011.

Harry Sassower made a motion to accept the Treasurer’s Report. Seconded by Feige Brody and passed unanimously.

President’s/Management Update – Rick Leach

Highlights:

·        Frames Tree Service is completing the Annual Tree Trimming Project today. Thanks were given to John Snyder and Dave Lefton for their efforts in monitoring the progress of the project.

·        Felix & Associates has completed making repairs to the sidewalk and have begun the asphalt on the south side of Boynton Beach Blvd. It is expected to be completed next week and the closed lanes will be finally opened.

·        Trugreen Landcare will begin mowing the lawns every Tuesday or once a week as scheduled in our landscaping contract. They will also trim the hedges once per month.

·        Our staff completed installing vinyl tile in the kitchen storage area across from the cafe as mandated by the Health Dept. in an earlier inspection. Also, renovations to the Cabana are just about completed.

·        Due to the six month drought, watering lawns will be restricted to twice per week between the hours of 4:00 PM until 10:00 AM.

·        Snowbirds and visitors were reminded to remove all loose items from their patios or around their units in preparation for the approaching Hurricane Season which begins June 1st

Barry Prince discussed the Spa Renovations and that we have received three bids from contractors ranging from a high of $140,000.00 to a low of $122,000.00. The low bid came from the contractor that was recommended by the Architect. Barry asked the contractors to go back and try to come up with some alternatives to the renovations so as to bring the amount lower to the cost we were anticipating. It is hopeful that this will be accomplished shortly and that we might still be able to begin early in July and complete the renovations by Labor Day. Once an agreement is reached, we will invite the contractor to participate in a meeting for questions and answers.

Old Business

The new Phone Directory is almost ready for printing. There are approximately thirty five owners who have not yet responded for inclusion into the Directory. No email addresses will be included in the new Directory because of previous misuses, the new State Privacy Act and possible legal liability issues as was advised by an attorney at a previous C.O.B.W.R.A. (Coalition of Boynton West Residential Associations). meeting.

Owner, Howard Weinberg mentioned that there is a currently a Bill in the Florida State Legislature which relates to the Privacy Act and the publishing of Phone Directories and inclusion of email addresses. Mr. Weinberg further stated that this Bill is contrary to what the Board is currently doing. Mr. Dow requested Mr. Weinberg to bring in the information he found to help keep the Board informed. Mr. Weinberg agreed to do this.

Also discussed was the possibility of using cell phones to open the gates to our community. It was stated that this can be done but that it can only be accomplished if the cell phone had the local area code of “561”.

New Business

Bob Dow announced that the contract for the Café was now complete and ready for signing between the B.S.P.O.A. and Essex Street Deli Restaurant, Inc., a/k/a Norman ’s Café. Mr. Dow made a motion to adopt the new contract, seconded by Harry Sassower and approved unanimously. A copy of the contract is available at the office to any interested owners.

Architectural requests

There were two Architectural requests made at the following locations:

·        10204 Mangrove Drive , Unit 106 – A privacy fence was approved.

·        10050 Hickorywood Place - A Replacement of a concrete walk and sliding glass doors were approved. Door frames must match color with window frames

Suggestion Box

Phyllis Weaving suggested that door stops be installed on the doors leading into the Banyan Room. It was agreed that this was a good idea and would be taken care of shortly.

Larry Granet made a motion to adjourn at 10:28 A.M. Seconded by Feige Brody and passed unanimously.
